About the Client 

Rock Trust

 Rock Trust is an organisation based in Edinburgh and formed in 1991 with a mission to end youth homelessness in Scotland. The group keeps a strong focus on advice, education and support to build the skills of young people and to provide them with the resources required for a healthy transition to adulthood.  

The Challenge

Amid the outbreak of the Coronavirus (COVID-19) and the government-imposed restrictions, Rock Trust needed to make fundamental changes to the way it worked. Euro Systems was tasked with managing a complete transition to the Microsoft Cloud platform — handling all necessary installations and ensuring a smooth migration with minimal disruption to operations.

The pandemic created several challenges, including tight timescales, hardware stock shortages, and major shifts in working practices due to national lockdown measures.

The Approach 

Euro Systems migrated Rock Trust from a third-party hosted desktop environment to a Microsoft AzureAD and Office 365 setup, deploying AzureAD, Exchange Online, Microsoft Teams, and SharePoint.

To strengthen network security, a Cloud Managed Sophos UTM firewall was installed, along with Cloud Managed Access Points to ensure reliable Wi-Fi throughout the premises.

Comprehensive user training was delivered across multiple sessions: two days on-site before remote working began, followed by five additional sessions held remotely via Microsoft Teams.

Euro Systems also provided post-migration support to address initial issues and continues to assist the Rock Trust team with ongoing technical support.

The Results 

Despite the challenges posed by the pandemic, Euro Systems completed a seamless migration that enabled Rock Trust to transition smoothly to remote working within a fully cloud-hosted environment.

Microsoft Teams now enables constant communication and easier access to shared resources directly from users’ local devices. OneDrive allows secure cloud storage of personal files, replacing desktop-based storage.

As part of the migration, Rock Trust successfully restructured and re-permissioned its data in SharePoint, gaining improved data access, including mobile access — a capability previously unavailable to the team.

With Microsoft Teams and SharePoint in place, Rock Trust staff now have full remote access to their data and can collaborate efficiently across all devices.

“We renewed our IT strategy and identified that migrating to Microsoft 365 was the most suitable option to support our operations and business functions. During the tendering process, we were impressed with Euro Systems’ knowledge and prior experience, and selected them to manage and support our migration from a hosted desktop environment using MS Office 2016, to a fully cloud based M365.   

During the planning of the migration, it became clear that Covid-19 would result in significant upheaval and our entire workforce would need to work from home. This required a change in solution, with an increase in the amount of kit required to enable home working, as well as a compression in the planned timescales to implement the solution.  

The team at Euro Systems were exceptional, and worked overtime to coordinate and deliver a migration, distribution of kit and user training. As issues cropped up (as would be expected with any IT migration) they were resolved quickly, and we found the team at Euro Systems to be very understanding of our questions and change requests. New solutions were required for some legacy systems due to full remote working, and the team worked quickly and effectively with key personnel to test and then deliver them.  

The level of knowledge and skill that the team had made us feel confident that the migration would be managed well.  

It’s common knowledge that IT migrations can be difficult. Factor in multiple changes in solution during the planning and implementation phase, compress those phases and coordinate an increase in hardware delivery, and the fact we are fully running with little minor issues, and no major issues experienced, speaks volumes.
